The Clubhouse is for use of homeowners for their enjoyment and that of their family and friends. The clubhouse can be used for Fairview Forest community events and private events so long as the event is hosted by a Fairview Forest resident in good standing.
- Events must not be advertised to the general public.
- Attendees may not be charged a fee.
- Personal use only. NO business related functions.
Community events hosted by residents for residents are free of change. Cleaning supplies, trash bags, and paper towels are provided.
Private events hosted by residents such as birthday parties, family reunions, etc. require a deposit and usage fee.
Residents in good standing should submit the Clubhouse Reservation Application.

Clubhouse Usage Agreement
Property owners need to submit a Clubhouse Usage Agreement for approval before using the clubhouse.
Reservations and Guidelines
Indoors:
- Full kitchen
- Restroom
- 6 tables (8 ft long)
- 79 metal chairs
- Wi-fi
- TV
Outdoors:
- 3 Picnic tables
- Large wrap-around lawn
- Large parking lot
All reservations are on a first-come basis. You should make your reservation as soon as possible by contacting the Clubhouse Committee Chair. You will receive a door code when your fee/deposit has been made; the code will be activated 24 hours before your event and deactivated 24 hours after your event unless another event is scheduled.
Residents in good standing should submit the Clubhouse Reservation Application.
- If for any reason you need to cancel your reservation after the fee/deposit has been made, the full amount will be refunded to you. Please cancel within 48 hours prior to your event.
- The homeowner must be present during the event and the code should not be given to a nonresident or anyone not participating in the event.
- If for some reason you cannot get access to the Clubhouse at your time of reservation, please contact the Clubhouse Committee Chair.
- Clubhouse use hours are from 7 AM until 10 PM.
Two separate checks are required, both made out to FFHA:
- $40 Use Fee – One check is for the Use Fee which is intended to help cover maintenance and operational costs. The User Fee will be deposited immediately in the FFHA account. Through your User Fee, FFHA supplies the following: full kitchen, paper towels, cleaning supplies, bathroom supplies, trash bags, propane for kitchen stove, and electricity.
- $250 Security/Cleaning Deposit – The second check will be shredded or returned following an inspection after your event if:
- FFHA property sustained no unusual damage (requiring repairs), and
- No unusual cleaning is required to restore the facility to its normal condition.
We take great care to see the Clubhouse is in good condition prior to each event. Please contact the Clubhouse Committee Chair if there is a major problem or concern prior to your event. A walk-thru is available upon request. Use and enjoyment of the Clubhouse by Association members is encouraged. Please observe the guidelines and make every effort to leave the facility clean and ready for the next use.

- Clubhouse Hours: 7 AM to 10 PM
- Maximum event occupancy is 40
- No smoking in the Clubhouse.
- Food, drinks, decorations, utensils, and paper goods will be provided by the event host.
- If doors are left open, heating and air conditioning should not be left running.
- Be aware of all fire hazards and the community policies on outdoor burning.
- Clubhouse fireplace is not to be used.
- Pets are wonderful, but out of courtesy for others, they should be left at home. Pets brought to the Clubhouse grounds should always be leashed, well-behaved, and closely supervised. Please clean up after your pet.
- No harsh chemicals should be used to clean surfaces if the chemical may cause damage. Part or all of the security/cleaning deposit may be used, plus additional fees added, to repair or replace any missing or damaged items.
- The provided chair dolly should be used to move metal chairs without damaging the laminate flooring.
- It is the responsibility of the host to enforce these policies and ensure guests are familiar with them.
- Blot any spills on floor, walls or furniture promptly and then clean as appropriate.
- Return all furniture to its original place.
- Wipe down counters.
- Vacuum and use wet Swiffers on all floor surfaces. (Supplies provided)
- Remove everything from the refrigerator and make sure it is securely closed.
- Managing Trash
- During your event be sure all trash is kept in barrels in the kitchen area and off the laminate flooring until it is removed. Trash bags are provided.
- Remove trash from all areas of the Clubhouse and take it with you.
- If a bag is leaking it must be double-bagged.
- Leaking trash bags left on floors (especially laminate flooring) will cause damage.
- Trash cannot be left in the Clubhouse since it attracts insects and rodents.
- Trash left outdoors will attract wildlife and cause additional cleanup.
- Report any damages to committee chair.

Committee Responsibilities
The Clubhouse Committee is responsible for:
- Arranging for the maintenance and repair of the clubhouse and its grounds.
- Approving and scheduling the use of the clubhouse by property owners.
- Enforcing the clubhouse rules.
- Collecting refundable deposits for clean-up as needed after use of the facility.
